What Are Import Templates?
An import template saves your field mapping configuration so you can reuse it on future uploads. Instead of manually mapping columns every time, select a saved template and the mapping applies automatically.
Saving a Template
After mapping your columns during import, use the toolbar above the mapping table:
- The name field is pre-filled with a suggested name (based on your file name and the current month) -- keep it or type your own, such as "Monthly QuickBooks Export" or "Annual Gala Donors."
- Click Save Template. The template stores which source columns map to which target fields, along with the required-field settings described below.
- If you loaded an existing template and then changed the mapping, the button reads Update Template (overwrite the one you started from) or Save as New (keep the original and create a second template) instead. An unsaved-changes indicator appears whenever your current mapping no longer matches what was last saved, so it's easy to tell before you navigate away.
Using a Saved Template
- Upload your file on the Import page.
- Before manual mapping, select a saved template from the toolbar dropdown.
- The system applies the stored mapping. If column names match, fields are mapped instantly.
- Review and adjust any columns that did not match (for example, if the source file changed column names).
Editing a Template
- Go to Templates and open the Import Templates tab.
- Click on a template to view its mapping configuration.
- For each mapped field you can toggle Required (the import is blocked if that field is left empty) and reorder mappings with the up/down arrows next to each row -- useful when a field's position matters for a downstream export or review.
- Make changes and click Save.
Edits do not affect previously imported batches -- only future imports using the template.
Deleting a Template
- Open the template from the Import Templates list.
- Click Delete Template and confirm.
Deleting a template does not remove any data that was imported using it.
Tips
- Create separate templates for each data source (e.g., one for your CRM export, one for your accounting software).
- If a source system changes its export format, update the template rather than creating a new one.
- Templates are scoped to your organization, so team members can share them.
