Overview

TaxReceipt.app uses a simple 3-step workflow to turn your donor data into professional tax receipts and deliver them. This guide walks you through each step so you can issue your first receipt in minutes.

Step 1 -- Import Data

Bring your donor data into TaxReceipt.app using any of three import methods. At a minimum you need each donor's name, donation amount, and donation date.

File Upload (CSV or Excel)

  • Drag and drop a .csv or .xlsx file, or click Upload on the Import page.
  • The system auto-maps columns when it recognizes common headings.

Google Sheets

  • Connect your Google account and select a spreadsheet directly.
  • Changes in your sheet can be re-synced for future batches.

QuickBooks

  • Connect your QuickBooks Online account to pull donor and donation data automatically.
  • See QuickBooks Import for setup details.

Step 2 -- Generate PDFs

Select a PDF template (or create one) and generate receipts for every row in your import batch.

  • Choose an existing template or design a new one in the template editor.
  • Preview a sample receipt before generating the full batch.
  • Click Generate to create all PDFs. Credits are consumed at this step.

Step 3 -- Distribute

Send receipts to donors and track delivery, all from one page organized into Email, Mail, Skipped, and All receipts tabs.

  • Pick an email template with merge tags (donor name, receipt number, etc.) and send to a selection or to everyone pending.
  • Receipts without an email on file are queued on the Mail tab -- mark them mailed, or generate a printable mailing pack.
  • Explicitly opt a receipt out of delivery on the Skipped tab, or un-skip it later.
  • The step is done once no receipt is still pending email or pending mail.

After you distribute

Review your batch and keep records for future reference.

  • View batch history with status, dates, and totals.
  • Re-download any receipt PDF from the batch, or download a bulk ZIP.
  • Free-tier PDFs are retained for 30 days; upgrade to Unlimited PDF Storage to keep them forever.

What You Need Before Starting

  1. An organization -- your charity or nonprofit profile. See Organizations.
  2. Donor data -- a CSV/Excel file, a Google Sheet, or a QuickBooks Online connection with at least name, amount, and date fields.
  3. Credits -- the Free plan includes 100 receipts per year. Purchase more under Billing & Credits.
