Deleting receipts
Deleting a receipt doesn't destroy it right away — it's a soft delete. The receipt is marked as trashed and disappears from your normal receipts list, but the record and its PDF are kept until you (or a teammate with the right permissions) explicitly remove it for good.
You can delete a receipt from its detail page, or delete several at once from the receipts list using the row checkboxes and the bulk Delete action. Both single and bulk delete ask for confirmation first — moving to trash isn't instant on a misclick.
Restoring from trash
Trashed receipts live in the Recently Deleted view, a sub-tab on the receipt history page alongside your active receipts. From there you can:
- Restore a single receipt with Restore Receipt, which clears its trashed state and returns it to your normal list.
- Select multiple trashed receipts with the checkboxes and use bulk Restore to bring several back at once.
Restoring is non-destructive and reversible any number of times — a receipt can be moved to trash and restored repeatedly without losing data.
Permanent deletion
From the Recently Deleted view, a trashed receipt can also be permanently deleted, either individually or in bulk. This is different from moving it to trash: permanent deletion removes the database record and its stored PDF for good, and cannot be undone. Because of that, the action always requires an explicit confirmation step before it runs, and it only ever applies to receipts that are already in the trash — you can't skip the trash step and permanently delete an active receipt directly.
The trash confirmation message suggests restoring within 30 days, so don't treat the trash as indefinite storage — if you're not sure whether you'll need a deleted receipt again, restoring it (rather than leaving it trashed) is the safer choice.
