Individual Downloads

To download a single receipt:

  1. Go to Receipts and find the receipt you need.
  2. Click the Download button next to the receipt.
  3. The PDF is saved to your browser's default download folder.

You can also download from the receipt detail page by clicking Download PDF.

Bulk ZIP Download

To download all receipts from a batch at once:

  1. Go to Batches and open the batch you want.
  2. Click Download All or Export ZIP.
  3. A ZIP file containing every receipt PDF in the batch is generated and downloaded.

This is useful when you need to print receipts or archive them locally.

PDF Retention

Free Tier -- 30-Day Retention

On the Free plan, generated PDF files are kept on the server for 30 days after creation. After 30 days the PDF file is automatically deleted.

  • Database records are kept forever -- you can always see receipt details (donor, amount, date) in your batch history.
  • PDF regeneration -- if a PDF has been deleted, you can regenerate it for 1 credit. Look for the Regenerate button on the receipt detail page.

You will receive warning emails before deletion:

  • 9 days before -- first warning
  • 2 days before -- urgent warning

Unlimited PDF Storage

The Unlimited PDF Storage add-on ($20/year) removes the 30-day limit. Your PDFs are kept on the server as long as your add-on is active.

Tips

  • Download receipts promptly if you are on the Free plan.
  • Use bulk ZIP download to create a local backup before the 30-day window closes.
  • Consider the Unlimited PDF Storage add-on if you need long-term cloud access to receipts.
  • Email Setup -- deliver receipts via email instead
  • Credits -- understand credit usage and PDF regeneration costs
  • Add-ons -- purchase unlimited storage
