After you generate PDFs, the Distribute step is where receipts actually reach donors. Everything happens on one page, organized into tabs, with a live count of what's still outstanding shown at the top next to a Generate delivery report button (a CSV plus a summary PDF).
The four tabs
- Email — receipts to send or already sent, split into Pending and Sent sub-lists. Send to a selection or to everyone pending, and resend from the Sent list.
- Mail — receipts that need a physical copy. Mark them mailed one at a time, in bulk, or by filter, and generate a printable mailing pack (Avery 5160 labels, cover letters, a combined receipts PDF, and an address list) for the receipts pending mail or the whole batch in one download.
- Skipped — receipts a staff member explicitly opted out of delivery. Un-skip one, a selection, or all of them to send them back into the Email or Mail flow.
- All receipts — every receipt in the batch, with search by donor name, email, or receipt number, plus filters for any delivery state (or just "Outstanding") and bulk state changes on whatever you've selected.
The page opens on the tab with the most pressing work — Email if anything is pending or was recently sent, otherwise Mail. The Mail and Skipped tabs appear only while they have receipts to act on; the Email tab is shown whenever the batch has any receipts at all (so it stays available for review and resending, even on a mail-only batch), and All receipts is always visible.
Per-receipt delivery status
Every receipt tracks its own state, shown as a color-coded pill:
| Status | Meaning | |---|---| | Pending email | Donor has an email on file; not sent yet | | Email sent | Successfully handed off to your mail server | | Pending mail | Needs a physical copy | | Mailed | Marked as printed and sent | | Skipped | A staff member opted this one out of delivery |
New receipts default to Pending email if the donor has an email address, or Pending mail if they don't — unless the run is configured for mail-only delivery, in which case every receipt starts as Pending mail.
When the step is complete
The Distribute step counts as done only when no receipt is still Pending email or Pending mail. Email sent, Mailed, and Skipped are all end states, so a batch can finish with some receipts emailed, some mailed, and some skipped.
Bulk actions
Select any rows on the Email, Mail, or All receipts tab and a bulk action bar appears with the actions valid for that state — for example, Mark for mail, Skip, and Report bounced on pending or already-sent emails; Mark mailed and Mark for email on receipts pending mail; Unmark as mailed on receipts already mailed. Mixed-state selections show a prompt to narrow the selection instead of a broken action list. You can also select "all matching this filter" and exclude a handful of rows rather than clicking through every page.
