These Terms of Service ("Terms") constitute a legally binding agreement between you ("you" or "User") and SMB Operations Inc. ("we," "us," or "our"), governing your access to and use of TaxReceipt.app and all related services (collectively, the "Service").
By creating an account or using the Service, you agree to be bound by these Terms and our Privacy Policy. If you do not agree to these Terms, you must not use the Service.
If you are using the Service on behalf of an organization, you represent and warrant that you have the authority to bind that organization to these Terms.
TaxReceipt.app is a cloud-based platform that enables organizations to:
The Service is designed for use by charities, nonprofits, religious organizations, and the accountants and administrators who serve them, primarily in Canada, the United States, and other jurisdictions where tax-deductible donation receipts are required.
You must be at least 18 years of age to use the Service. By using the Service, you represent that you meet this age requirement and that you are legally capable of entering into binding agreements.
If you are creating an organization on the Service, you represent that you are authorized to act on behalf of that organization and that the organization is a legitimate entity registered in its applicable jurisdiction.
You agree to provide accurate, current, and complete information when creating your account and to keep this information updated. You are responsible for:
We reserve the right to suspend or terminate accounts that contain inaccurate information or that we reasonably believe are being used in violation of these Terms.
The Service offers a free plan that includes up to 100 receipt credits per year and 30-day PDF file retention. The free plan includes one organization for the account owner; additional team members are available as a paid add-on. No credit card is required for the free plan. The 100 receipt credits included in the free plan each year do not carry over: any of them that are unused when your billing year ends are forfeited.
Additional capabilities are available as add-on purchases, including receipt credit packs, unlimited PDF storage, additional team members, and additional organizations. All add-on purchases are processed through Stripe and are subject to the following terms:
Receipt credits are consumed at the time of PDF generation. Credit consumption is non-refundable. Each receipt PDF generated consumes one credit. Test runs consume no credits. This includes the first issue of a receipt, a corrected replacement receipt issued through Correct & Replace (the credit used by the cancelled original is not returned), and regenerating a PDF that has expired. Re-rendering the expired PDF of a cancelled original as part of a correction, or for a cancellation notice, does not consume an additional credit.
Sending or resending a receipt by email does not consume a credit, including when you correct a donor's email address and resend. A resend re-renders the email from its email template as it is now and attaches the stored PDF unchanged. A send or resend of a receipt whose PDF has expired is not sent until you regenerate that PDF, which consumes one credit.
Because receipt credits are consumed immediately upon PDF generation, credits that have been used are non-refundable, and unused receipt credits are not refundable. For other add-ons purchased in error (such as unlimited PDF storage, additional team members, or additional organizations), please contact us within 30 days of purchase at support@taxreceipt.app and we will evaluate your request on a case-by-case basis.
You retain full ownership of all data you upload, import, or create using the Service, including donor information, receipt data, templates, and generated PDF files ("User Content").
By using the Service, you grant SMB Operations Inc. a limited, non-exclusive, non-transferable license to process, store, and transmit your User Content solely for the purpose of providing and improving the Service. This license terminates when you delete your data or close your account.
You are solely responsible for the accuracy and completeness of the data you upload and the tax receipts you generate. You are responsible for ensuring that your receipts comply with all applicable tax laws and regulations in your jurisdiction. SMB Operations Inc. does not review, validate, or guarantee the correctness of your tax receipts.
You may export your data at any time through the Data Privacy section of your account settings. We provide your data in standard, portable formats (CSV and PDF).

We reserve the right to suspend or terminate your account for violations of this policy, with or without notice, depending on the severity of the violation.
The Service integrates with third-party platforms including Intuit QuickBooks Online, Google Workspace (Sheets, Gmail, Drive), Microsoft Outlook, Stripe, and various email delivery providers. These integrations are provided on an "as available" basis.
TaxReceipt.app is a receipt generation tool. We do not provide tax advice, legal advice, or accounting services.

After a PDF has expired, the underlying receipt data (donor information, amounts, dates) remains in the database and the PDF can be regenerated for one credit. Database records are retained until you manually delete them or request account deletion.
We strive to maintain high availability of the Service but do not guarantee uninterrupted access. The Service may be temporarily unavailable due to:
We are not liable for any damages resulting from Service unavailability.
The Service, including its design, code, features, documentation, and branding, is the property of SMB Operations Inc. and is protected by copyright, trademark, and other intellectual property laws.
You may not copy, modify, distribute, or create derivative works based on the Service without our prior written consent. Your use of the Service does not grant you any ownership rights in the Service or its underlying technology.
TO THE MAXIMUM EXTENT PERMITTED BY APPLICABLE LAW:
Some jurisdictions do not allow the exclusion or limitation of certain damages. In such jurisdictions, our liability shall be limited to the maximum extent permitted by law.
You agree to indemnify, defend, and hold harmless SMB Operations Inc. and its officers, directors, employees, and agents from and against any claims, liabilities, damages, losses, costs, or expenses (including reasonable legal fees) arising from:
You may stop using the Service and request account deletion at any time through your account settings. Account deletion is subject to a 30-day grace period during which you can cancel the request and recover your data.
We may suspend or terminate your access to the Service at any time if you violate these Terms, engage in fraudulent activity, or if required by law. Where possible, we will provide reasonable notice and an opportunity to export your data before termination.
Upon termination, your right to use the Service ceases immediately. We will retain your data for 30 days to allow you to export it, after which it will be permanently deleted. Provisions of these Terms that by their nature should survive termination (including limitation of liability, indemnification, and governing law) will continue to apply.
These Terms are governed by and construed in accordance with the laws of the Province of Ontario, Canada, without regard to its conflict of law principles.
Any dispute arising from these Terms or the Service shall first be addressed through good faith negotiation between the parties. If the dispute cannot be resolved within 30 days, either party may submit the matter to the exclusive jurisdiction of the courts of the Province of Ontario, Canada.
We may update these Terms from time to time. For material changes, we will provide at least 30 days' notice via email to the address associated with your account. The "Last Updated" date at the top of this page indicates when these Terms were most recently revised.
Your continued use of the Service after the effective date of revised Terms constitutes your acceptance of the changes. If you do not agree to the revised Terms, you must stop using the Service and may request account deletion.
